Parent & Guardian Access Policy
Chik Montessori School Effective Date: September 2026 Applies to: Chik Montessori School, Chik College, chik.ng, and the Chik App
1. Purpose
Chik Montessori School uses the Chik App to help parents and guardians stay informed and involved in their children's education.
Through the App, authorised parents and guardians may have access to information such as attendance, assignments, teacher updates, academic information, school communications, bills, payments, and other records relating to their children.
This policy explains how parent and guardian access is created, managed, reviewed, restricted, and removed.
It should be read together with the Terms of Service (including account suspension, deactivation, and remove student access), the Chik Privacy Policy, and the Data Retention Policy (including why records may remain after access ends).
Our guiding principle is simple:
Access to a child's information must be based on an authorised relationship with the child, not merely on another user's permission.
2. Individual Parent and Guardian Accounts
Each parent or guardian should have their own Chik account.
An account belongs to the individual registered to it. Where two parents or guardians are associated with the same child, neither person's account is considered to belong to or be controlled by the other.
A parent or guardian must not:
- access another person's account without permission;
- share another person's login credentials;
- impersonate another parent or guardian; or
- attempt to alter another person's account or access without appropriate authority.
Parents and guardians are responsible for keeping their login credentials secure.
3. Relationship With a Student
Access to a student's information is based on the relationship recorded between the individual and the student.
A person may be recorded as a parent, guardian, caregiver, or other authorised person where appropriate.
The School may request information reasonably necessary to establish or verify this relationship before granting access.
Being associated with the same family account, household, telephone number, payment record, or another parent does not by itself give a person authority to control another parent's access.
4. Multiple Parents and Guardians
A student may have more than one parent or guardian with legitimate access to their school information.
Where multiple parents or guardians are independently recognised by the School, each person's access is treated separately.
One parent or guardian cannot ordinarily request the deletion or deactivation of another verified parent or guardian's account solely because they no longer wish that person to have access.
A request to review or remove another person's access to a particular student is different from a request to deactivate that person's Chik account. For example, a request by one parent to "remove my husband," "remove my wife," or otherwise remove another parent will not automatically deactivate that person's account or remove their access.
Instead, the School may review the relationship and circumstances in accordance with this policy (see Section 5).
5. Requests to Review Another Person's Access
A parent or guardian may ask the School to review another person's access to a child.
Such a request may be appropriate where there is:
- an incorrect parent or guardian association;
- separation, divorce, or a change in caregiving arrangements;
- a custody or guardianship arrangement affecting access;
- a court order or other legal restriction;
- a safeguarding or child-protection concern;
- suspected fraud, impersonation, or unauthorised access;
- a person who is no longer legally or appropriately connected to the child;
- the death of a parent or guardian; or
- another significant circumstance affecting whether access remains appropriate.
Making a request does not automatically result in access being removed.
The School may ask for appropriate information or documentation before making a decision.
6. Safeguarding and Urgent Restrictions
Where the School reasonably believes that continued access could create a safeguarding, privacy, security, or legal risk, it may temporarily restrict access while the matter is reviewed.
Where there appears to be an immediate risk to a child, the School may take protective action without first notifying every affected user where doing so is considered necessary and lawful.
Safeguarding concerns will be handled in accordance with the School's applicable safeguarding and child-protection procedures.
7. Court Orders and Legal Arrangements
Parents and guardians are responsible for informing the School of any court order, custody arrangement, guardianship decision, or other legal restriction that may affect access to a student's information.
The School may request a copy of relevant documentation before changing access.
Where documentation establishes that a person's access should be limited or removed, the School may modify that person's access accordingly.
The Chik App does not determine custody, guardianship, parental responsibility, or other family-law disputes. The School will rely on applicable law, its official records, appropriate documentation, and safeguarding considerations when determining access.
8. Account Removal vs Student Access
Deactivating or closing a Chik account and removing access to a particular student are different actions. Account suspension, deactivation, and reactivation are described in the Terms of Service. Deletion of personal data is handled under the Privacy Policy and Data Retention Policy.
A person may lose access to one student without their entire Chik account necessarily being deactivated or deleted.
For example, where a guardian relationship has changed, the School may remove the relationship between:
Parent/Guardian → Student
without deleting the individual's user account.
Similarly, removing someone from a family or household record does not necessarily remove a legitimate parent or guardian relationship with a student.
9. Requests Concerning Your Own Account
Users may request changes to their own account information and may submit requests concerning their own personal data in accordance with the Chik Privacy Policy and applicable law.
A request concerning one's own account does not automatically give that person authority to request deletion of another person's account or personal information.
Where the School is required or permitted to retain certain records for educational, safeguarding, financial, legal, regulatory, or administrative purposes, those records may be retained even where access to the App has ended — including permanent school record information where applicable. Periods and disposal actions are set out in the Data Retention Policy. Scheduled deletion may be paused under a legal or administrative hold described in that policy.
10. Family Accounts and Payments
A family account may be used to organise students, parents, guardians, bills, payments, and other family-related information within the Chik App.
A family account is an administrative structure and should not be interpreted as establishing legal custody or giving one family member ownership of another family member's account.
Making school-fee payments for a student does not, by itself, create or remove parental or guardian rights.
Changes to billing responsibility may therefore be handled separately from changes to access to a student's educational information.
11. Information Available to Parents and Guardians
The information available through the Chik App may vary according to a user's relationship with the student, their assigned permissions, the student's school or class, and the features currently provided by the School.
Access may include information such as:
- attendance and arrival/departure records;
- assignments and teacher logs;
- academic records and learning information;
- school announcements and communications;
- bills, balances, payments, and receipts;
- student profile information;
- school activities and events; and
- other information made available by the School.
Access to information through the App does not necessarily mean that a user is authorised to change that information.
12. Accuracy of Parent and Guardian Records
Parents and guardians should notify the School when important information relating to their family or a student's authorised caregivers changes.
The School may periodically verify parent and guardian relationships and may correct inaccurate, duplicate, or outdated associations.
Where there is uncertainty about a person's relationship with a student, the School may temporarily limit access while verification takes place.
13. School's Authority to Manage Access
Chik Montessori School reserves the right to grant, modify, restrict, suspend, or remove access to the Chik App or to particular student records where reasonably necessary for:
- student safety and safeguarding;
- protection of personal information;
- account security;
- correction of inaccurate records;
- compliance with applicable law or lawful orders;
- investigation of suspected misuse;
- protection of the School, students, staff, parents, or other users; or
- proper administration of the School and its digital services.
Decisions concerning access will be made with consideration for the rights and interests of the affected student and users.
14. Disputes Between Parents or Guardians
The Chik App is not a forum for resolving personal, marital, custody, or family disputes.
Where parents or guardians disagree about access, the School may maintain the existing access arrangement while the matter is reviewed, unless there is a safeguarding, legal, privacy, or security reason requiring a different approach.
The School may request appropriate documentation or direct the parties to resolve matters through the relevant legal or administrative process before making permanent changes.
The School will not ordinarily act solely on one person's allegation against another without considering the circumstances and any information reasonably available to it.
15. Misuse of Access
Access to student information must be used appropriately and for legitimate purposes connected with the child's education, care, welfare, or the administration of their relationship with the School.
The School may restrict or suspend access where an account is used to:
- obtain information without authorisation;
- impersonate another person;
- harass or threaten students, parents, staff, or other users;
- interfere with school systems or records;
- deliberately provide false information;
- compromise another user's privacy or security; or
- otherwise misuse the Chik App.
Serious misuse may also be referred to appropriate authorities where required.
16. Privacy
Personal information accessed through the Chik App must be handled responsibly.
The collection, use, storage, sharing, retention, and protection of personal information by Chik Montessori School are further explained in the Chik Privacy Policy and Data Retention Policy.
Nothing in this Parent & Guardian Access Policy limits rights provided under applicable data-protection law.
17. Requesting an Access Review
A parent or guardian who believes that a person's access to a student should be added, corrected, restricted, or removed should contact the School.
The School may request:
- the name of the student;
- the requesting person's identity and relationship to the student;
- the identity of the person whose access is being questioned;
- the reason for the request; and
- supporting information or documentation where appropriate.
Requests involving safeguarding concerns should be clearly identified so that they can receive appropriate attention.
18. Changes to This Policy
Chik Montessori School may update this policy as the School, the Chik App, applicable law, or safeguarding requirements evolve.
Where a material change affects how parents or guardians access student information, the School may notify affected users through the Chik App, website, email, or another appropriate communication channel.
