Terms of Service
Chik Montessori School Effective Date: September 2026 Applies to: chik.ng, app.chik.ng, and related Chik digital services
1. About These Terms
These Terms of Service govern access to and use of the websites, applications, portals, communications, and other digital services provided by Chik Montessori School, including chik.ng and the Chik App.
In these Terms:
- “Chik,” “the School,” “we,” “us,” or “our” refers to Chik Montessori School and its schools and branches, as applicable.
- “Chik App” or “App” refers to the School's digital platform available through app.chik.ng and related interfaces.
- “User,” “you,” or “your” means a person accessing or using the Services.
- “Student” means a child or young person enrolled, previously enrolled, applying for enrolment, or otherwise legitimately recorded within the School's systems.
- “Parent” or “Guardian” means a person recorded or recognised by the School as having an appropriate relationship with a Student.
- “Services” means the Chik App, chik.ng, and other digital services provided by the School.
By creating an account, accessing the Chik App, or continuing to use the Services, you agree to these Terms and the policies referenced in them, including the Privacy Policy, Data Retention Policy, and Parent & Guardian Access Policy where applicable to your use of the Services.
If you do not agree with these Terms, you should not use the Services.
2. Purpose of the Chik App
The Chik App supports the administration of school activities and communication among the School, Students, Parents, Guardians, Staff, and other authorised users.
Depending on the user's role, the App may provide features relating to:
- student registration and records;
- parent and guardian accounts;
- family accounts;
- attendance and arrival/departure records;
- timetables and school calendars;
- teacher logs and classroom updates;
- assignments and learning activities;
- academic information;
- school announcements and communications;
- school fees, bills, balances, payments, and receipts;
- notifications and reminders;
- school activities and events; and
- other educational or administrative services introduced by the School.
Features may be added, changed, limited, or discontinued as the Services evolve.
3. Eligibility and Authorised Use
The Chik App is intended for people who have a legitimate reason to access the School's digital services.
Users may include:
- Parents and Guardians;
- Teachers and other School Staff;
- School administrators and management;
- authorised service providers; and
- other persons expressly authorised by the School.
Access to particular information or features depends on the user's role and permissions.
The creation of an account does not automatically give a User access to any particular Student, family, class, record, or administrative function.
4. User Accounts
Where an account is required, you must provide accurate information and keep relevant account information reasonably up to date.
Each account belongs to the individual to whom it is registered.
You are responsible for:
- protecting your password and other login credentials;
- taking reasonable steps to prevent unauthorised access;
- ensuring information submitted through your account is accurate;
- notifying the School where you become aware of unauthorised use of your account; and
- using your account only for authorised purposes.
You must not impersonate another person or deliberately create an account using false or misleading identity information.
The School may require identity or relationship verification before granting access to certain information.
5. Parent and Guardian Access
Access to Student information is based on the relationship between the User and the Student as recognised by the School.
Where more than one Parent or Guardian is associated with a Student, each person's account and access are treated separately.
One Parent or Guardian does not automatically control another Parent or Guardian's account or access.
A Parent or Guardian therefore cannot ordinarily require the School to delete another person's account or remove another verified Parent or Guardian solely because they request it.
Requests concerning another person's access will be handled according to the Parent & Guardian Access Policy.
The School may modify or restrict access where appropriate because of a safeguarding concern, court order, custody or guardianship arrangement, inaccurate record, fraud, security concern, legal obligation, or other legitimate circumstance.
6. Family Accounts
The Chik App may group Parents, Guardians, Students, bills, payments, and related records into a family account for administrative convenience.
A family account is an administrative structure.
It does not:
- determine legal parentage or guardianship;
- determine custody;
- give one family member ownership of another person's account;
- give one Parent or Guardian unrestricted authority over another; or
- independently establish a legal right to access a Student's information.
Where family circumstances change, the School may modify family-account relationships while retaining records reasonably required for educational, financial, safeguarding, legal, or administrative purposes.
7. Student Records
The Chik App may contain educational and administrative records relating to Students.
These may include attendance, class information, assignments, teacher updates, academic information, bills, payment records, communications, photographs, activities, and other records used in operating the School.
Access to a Student's information does not necessarily give a User authority to alter, delete, download, distribute, or otherwise control that information.
Official School records remain subject to the School's record-management practices and applicable law.
Where information displayed in the App differs from an official record maintained by the School, the School may investigate and correct the discrepancy.
8. Attendance
The Chik App may record Student attendance, including arrival and departure from School.
Attendance information provided through the App is intended to assist Parents, Guardians, Staff, and administrators.
Users should not rely on an electronic attendance record as an emergency location-tracking service or guarantee of a Student's physical location.
Where there is an urgent concern regarding a Student's whereabouts or safety, Parents and Guardians should contact the School through an appropriate direct channel.
9. Teacher Logs, Assignments and Academic Information
Teachers and Staff may use the Chik App to record classroom activities, assignments, topics taught, observations, reminders, and other educational information.
These records are intended to improve communication between the School and families.
Parents and Guardians should understand that:
- teacher logs may summarise rather than reproduce everything that occurred during a school day;
- assignments and deadlines may occasionally require correction;
- academic information displayed through the App may be updated; and
- App notifications do not replace appropriate communication with the School where clarification is required.
The School may correct errors or update educational records when necessary.
10. Communications and Notifications
By using the Services, Users may receive communications relating to the School and their relationship with it.
These may include:
- attendance notifications;
- assignment notifications;
- teacher updates;
- school announcements;
- academic reminders;
- fee and payment reminders;
- receipts and transaction information;
- timetable or calendar updates;
- security notifications;
- administrative messages; and
- other relevant School communications.
Communications may be delivered through the App, email, SMS, push notification, or other channels supported by the School.
Some administrative, safeguarding, security, transactional, or service-related communications may be necessary for the operation of the Services and may not be treated in the same way as optional promotional communications.
11. School Fees, Bills and Payments
The Chik App may display School fees, Student bills, outstanding balances, previous balances, payments, credits, receipts, and other financial information.
A Parent, Guardian, or other authorised person may make a payment relating to one or more Students.
Where appropriate, a payment may initially be associated with a family account and subsequently allocated to one or more Student bills.
The School may determine or correct payment allocations where necessary to maintain accurate financial records.
Information displayed through the App is intended to reflect the School's financial records. Users who believe a balance, payment, allocation, or receipt is incorrect should contact the School.
12. Payment Records and Reversals
Payments recorded in the App may include payments made through bank transfer, cash, or other methods accepted by the School.
A record appearing in the App does not necessarily mean that funds have finally cleared or cannot subsequently be reversed.
Where a payment is entered incorrectly, reversed by a financial institution, refunded, cancelled, duplicated, or otherwise requires correction, the School may create appropriate adjustment or reversal records.
The School may retain original transaction records and associated corrections for accounting, audit, legal, and administrative purposes.
13. Acceptable Use
Users must use the Services responsibly and lawfully.
You must not:
- access information you are not authorised to view;
- attempt to gain access to another User's account;
- share login credentials for the purpose of bypassing access controls;
- impersonate another person;
- deliberately provide false or misleading information;
- alter or attempt to alter School records without authorisation;
- interfere with the operation or security of the Services;
- introduce malicious software or harmful code;
- scrape, systematically extract, or harvest information without authorisation;
- use Student or User information for unauthorised commercial purposes;
- use information obtained through the App to harass, threaten, intimidate, or unlawfully discriminate against another person;
- attempt to circumvent access restrictions; or
- use the Services for unlawful purposes.
The School may investigate suspected misuse and take appropriate action.
14. Parent-to-School and Staff Communications
Where communication features are provided, Users must communicate respectfully and use those features for legitimate School-related purposes.
The availability of a messaging or commenting feature does not guarantee an immediate response.
Urgent safeguarding, medical, security, or emergency matters should be communicated through an appropriate direct or emergency channel rather than relying solely on an App message or notification.
The School may moderate, restrict, or remove access to communication features where they are abused.
15. User-Submitted Information
Users may provide information through forms, registrations, comments, messages, payment records, uploads, or other App features.
You are responsible for ensuring that information you submit is accurate to the best of your knowledge and that you have an appropriate basis for providing it.
Where you provide personal information concerning another person, you should only do so where reasonably necessary and appropriate.
The School may correct, moderate, restrict, archive, or remove information where reasonably necessary for administration, accuracy, safeguarding, security, or compliance with applicable law.
16. Photographs, Media and Student Content
The School may use photographs, videos, Student work, or other media in connection with educational activities, School records, communications, or publicity.
The use of Student images or other media will be subject to applicable School policies, permissions, consents where required, and applicable law.
Access to a photograph or other media through the Chik App does not automatically give a User permission to republish, commercially exploit, or distribute it outside its intended context.
17. Privacy and Personal Information
The School processes personal information in connection with operating the Services.
This may include information relating to Students, Parents, Guardians, Staff, families, attendance, education, communications, and financial transactions.
Our practices concerning the collection, use, disclosure, storage, security, retention, and rights relating to personal information are described in the Chik Privacy Policy.
Because the School handles information relating to children, additional safeguards may apply to certain information and activities.
These Terms should be read together with the Privacy Policy and the Data Retention Policy.
18. Account and Data Requests
Users may request appropriate corrections to their own account information and may exercise applicable rights concerning their personal information in accordance with the Privacy Policy and applicable law.
A User's rights concerning their own personal information do not ordinarily give that User authority to request deletion of another person's account or personal information.
Account access, suspension, deactivation, and data retention are also separate matters (see Section 23 and the Data Retention Policy).
Where an account is deactivated, suspended, or access to a Student is removed, the School may retain records in accordance with the Data Retention Policy, including:
- maintaining Student educational and permanent school record information;
- safeguarding;
- financial accounting;
- payment history;
- dispute resolution;
- fraud prevention;
- legal or regulatory obligations; and
- legitimate School administration.
Retention may continue beyond an ordinary retention date where a legal or administrative hold applies under the Data Retention Policy.
19. Intellectual Property
Unless otherwise stated, the Chik App, website, School branding, logos, interface designs, software, original content, and other materials provided by the School are owned by or licensed to Chik Montessori School.
Users are granted a limited right to access and use the Services for their intended educational, family, employment, or administrative purposes.
Nothing in these Terms transfers ownership of the School's intellectual property to a User.
Student work remains subject to any rights applicable to the Student, Parent or Guardian, School, or creator under applicable law.
20. Third-Party Services
Some Chik services may rely on third-party providers for functions such as hosting, email delivery, notifications, payment processing, analytics, security, or other technical infrastructure.
Where a User interacts directly with a third-party service, additional terms or privacy practices may apply.
The School will seek to use third-party services appropriately and in accordance with applicable data-protection requirements.
21. Availability of the Services
We aim to keep the Chik App and related Services available and reliable, but uninterrupted availability cannot be guaranteed.
The Services may occasionally be unavailable because of:
- maintenance;
- software updates;
- internet or telecommunications failures;
- power interruptions;
- third-party service failures;
- security incidents; or
- circumstances outside the School's reasonable control.
Where practical, important School processes should have appropriate alternative administrative procedures when the App is unavailable.
22. Changes to Features
The Chik App will continue to evolve.
The School may add, modify, replace, or discontinue features and may change how information is presented or managed.
Where a change materially affects Users' rights, privacy, or obligations, the School may provide appropriate notice and, where required, request additional consent or acceptance.
23. Account Suspension, Deactivation and Closure
Chik accounts move through an ordinary lifecycle. Suspension and deactivation are the normal ways access ends or is paused; deletion of personal data and permanent removal of an account record are separate matters handled under the Chik Privacy Policy, the Data Retention Policy, and applicable law.
These rules concern what happens when a User's account is no longer active. They are different from the Parent & Guardian Access Policy, which answers who may access a particular Student. Those questions can diverge. For example, a Parent may ask to deactivate their own account without ceasing to be the child's parent; a Parent may ask the School to review another Parent or Guardian's access to a Student without asking the School to deactivate that person's account — and one User may not ordinarily initiate deactivation of another User's account on that person's behalf.
The following terms describe how the School and Users should understand common account actions:
| Action | Meaning |
|---|---|
| Suspend | Temporarily prevents login while preserving the account and its relationships |
| Deactivate | The account can no longer be used in the ordinary way, but historical records remain |
| Remove student access | The User remains active but loses access to a particular Student |
| Reactivate | Restores a previously deactivated account where appropriate |
| Delete personal data | A privacy request handled separately under the Chik Privacy Policy |
| Delete account record | Permanent technical removal, only where appropriate |
Account deactivation
A User may request deactivation of their own Chik account. Deactivation prevents ordinary access to the account but does not necessarily delete the User's personal information, School records, financial records, communications, or historical relationships.
One User may not ordinarily request deactivation of another User's account. Requests concerning another Parent or Guardian's access to a Student will instead be handled under the Parent & Guardian Access Policy.
The School may suspend or deactivate an account where reasonably necessary because of account compromise, misuse, duplicate accounts, termination of employment, safeguarding concerns, security risks, legal requirements, prolonged inactivity, inaccurate or fraudulent account information, a lawful order, a material breach of these Terms, or another legitimate administrative reason connected with the safe and proper operation of the School or Services.
Where appropriate, the School may investigate the matter before determining whether access should be restored, modified, suspended, deactivated, or otherwise changed.
Where appropriate, a deactivated account may subsequently be reactivated after the User's identity and authority have been verified.
Requests for deletion of personal information are separate from account deactivation and will be considered under the Chik Privacy Policy and applicable law.
In ordinary operation, an account may follow a path such as Active → Suspended → Active, or Active → Deactivated → Reactivated. Actual deletion of personal data or permanent removal of an account record is expected to be exceptional rather than the default way a User stops using the Services.
Leaving the School
When a Student leaves Chik Montessori School, access to some App features may end or change. That change in access does not necessarily mean that underlying records must be deleted.
The School may retain appropriate Student, Parent, Guardian, financial, attendance, academic, communication, and administrative records in accordance with the Data Retention Policy and applicable law.
Similarly, when a member of Staff leaves the School, their Staff access may be terminated or their account deactivated while records created during their employment remain part of the School's records where appropriate.
24. No Replacement for Official or Emergency Communication
The Chik App is intended to improve School administration and communication. It should not be treated as the sole channel for emergencies.
Nothing displayed in the App should prevent a User from contacting the School directly where a matter requires urgent attention.
In an emergency involving immediate danger, Users should contact the appropriate emergency service or authority.
25. Accuracy and Corrections
The School takes reasonable steps to maintain accurate information, but errors may occasionally occur.
Users should report suspected inaccuracies so they can be reviewed.
The School may correct records where it determines that information is inaccurate, incomplete, duplicated, incorrectly associated, or entered in error.
A correction may remain auditable where retaining a history of the original record is appropriate.
26. Limitation of the Services
The Chik App is an educational and administrative platform.
Information provided through the App should be understood in its appropriate context. The App does not provide legal, medical, financial, or other professional advice merely because information concerning a Student or family appears within it.
Nothing in these Terms excludes or limits rights or responsibilities that cannot lawfully be excluded or limited.
27. Responsibility for Loss
To the extent permitted by applicable law, the School will not be responsible for loss resulting solely from circumstances outside its reasonable control or from a User's unauthorised or improper use of the Services.
Nothing in these Terms is intended to exclude responsibility where doing so would be unlawful, including any responsibility that applicable law does not permit the School to exclude.
28. Safeguarding
The welfare and safety of Students take priority in the operation of the Chik App.
The School may restrict access, preserve records, investigate activity, or take other reasonable measures where necessary to protect a Student or respond to a safeguarding concern.
Where appropriate or legally required, concerns may be referred to relevant authorities.
29. Relationship With Other Chik Policies
These Terms should be read together with applicable Chik policies, including:
- the Chik Privacy Policy (personal information, deletion, and retention);
- the Data Retention Policy (retention periods by record type);
- the Parent & Guardian Access Policy (who may access which Student);
- applicable safeguarding and child-protection policies; and
- other School policies communicated to Users.
Section 23 of these Terms governs account suspension, deactivation, and closure. The Privacy Policy governs personal-data deletion and retention. The Parent & Guardian Access Policy governs access to Student information where more than one Parent or Guardian is involved.
If a specific policy provides additional rules for a particular feature or relationship, those rules may apply alongside these Terms.
30. Changes to These Terms
The School may update these Terms where necessary to reflect changes in:
- the Chik App;
- School operations;
- applicable law;
- security or safeguarding requirements; or
- the services provided to Users.
Where changes are material, Users may be notified through the Chik App, website, email, or another appropriate communication channel.
Where appropriate, Users may be required to accept updated Terms before continuing to use certain Services.
31. Governing Law
These Terms are governed by the laws of the Federal Republic of Nigeria and other applicable laws and regulations.
Nothing in these Terms limits any rights available to a User under applicable Nigerian law.
32. Questions, Complaints and Disputes
Users who have a concern about the Chik App should first contact the School so that the matter can be reviewed.
Concerns relating specifically to personal information should be handled in accordance with the Chik Privacy Policy.
The School will seek to resolve legitimate complaints fairly and through appropriate administrative procedures.
Nothing in these Terms prevents a User from exercising rights or seeking remedies available under applicable law.
33. Contact
Questions about these Terms or the Chik App may be directed to Chik Montessori School through the official contact information published by the School.
Privacy and personal-data requests should be submitted using the contact process specified in the Chik Privacy Policy.
34. Acceptance
By creating an account or continuing to use the Chik App after being presented with these Terms, you acknowledge that you have had an opportunity to read and understand them.
Where additional consent or authorisation is legally required for a particular activity, acceptance of these Terms alone will not be treated as a substitute for that consent.
